Multi-Location Oversight: Branch Reporting, Exception Visibility, and Lean-Team Admin

Who this is for

Multi-location operators (home services, fitness, medical offices, property management, salons and med spas, automotive service, restaurants) who already have calls routing correctly across branches and now need visibility into how each location is performing.

This page is about the next problem: once every call reaches the right place, how do you see what is happening across 5, 20, or 100 locations without hiring a full operations team?

The oversight stack

Four Frontdesk components, stacked, give a multi-location operator the visibility they need:

  1. Dashboards & Reporting — per-location, per-team, or portfolio rollup views

  2. Analytics Tab — call patterns, AI performance, and anomaly detection

  3. Smart Notifications — real-time alerts that only fire on exceptions

  4. Text and Call Logs — single unified log when you need to drill in

Together, these replace the work that used to require a regional operations manager reviewing call recordings from every location on Monday mornings.

Layer 1: Per-location dashboards

In Dashboards & Reporting, each location or team can have its own view with the metrics that matter for that branch. A typical setup for a multi-location service business:

Layer 2: The regional rollup

For 5 to 20 locations, the ops leader needs a rollup view above the branches. Two patterns work:

  • Side-by-side. All locations on one dashboard, sorted by a chosen metric (answered rate, booking rate, P1 response time). Outliers surface immediately.

  • Heatmap. Locations as rows, metrics as columns, with color coding. Used for monthly reviews with district managers.

Both use Dashboards & Reporting's custom dashboard capability. For more than 20 locations, a Zapier rollup into a BI tool (Looker Studio, Metabase, Tableau) usually becomes the right layer because you will want to compare against other branch metrics (revenue, staffing cost) that do not live in Frontdesk.

Layer 3: Exception visibility via Smart Notifications

Dashboards tell you what happened. Smart Notifications tell you when something needs attention right now. For multi-location, the notifications that matter:

  • Missed P1 at any location. On-call tree did not reach anyone. Page the regional manager.

  • SLA breach. A Smart Ticket is past its first-response target. Alert the branch manager.

  • After-hours volume spike. More than N calls to one location between 10pm and 6am likely means a property-wide issue (outage, recall, weather). Alert ops leadership.

  • Warm-transfer failure. The AI tried to transfer to the right person and could not connect three times in a row at one branch. Alert the branch manager (their phones may be down).

  • Opt-out rate climb. SMS opt-out rate at a specific location rises above 3%. Scripts at that branch likely need revision.

Layer 4: Admin roles for a lean team

A 10-location operator with a 3-person regional ops team cannot have everyone editing everything. Frontdesk's Editor seats allow role-based admin:

A weekly rollup template

Every Monday, the ops leader reviews one view for 10 minutes. Structure:

  1. Coverage: total calls, answer rate, after-hours volume (portfolio and top 3 outlier branches)

  2. SLA health: P1 response time, any SLA breaches, any missed escalations

  3. Conversion: booking rate, missed-call recovery rate, warm-transfer completion

  4. Exceptions: branches that hit any Smart Notification threshold more than twice in the week

  5. Two actions: what needs a script change, what needs a routing change

If the view takes more than 10 minutes, the dashboard is carrying too many metrics. The point is to spot the handful of branches that need attention and let the rest run.

A monthly branch-performance review template

Every month, the ops leader and the district managers review each branch on the same four axes:

  • Capacity: is this branch at saturation, under-utilized, or in range?

  • Quality: are first-response times in range, are opt-out rates low, are transcripts clean?

  • Conversion: is booking rate at or above portfolio median?

  • Leakage: how many missed-call recoveries, how many abandoned SMS conversations?

The data comes from Dashboards & Reporting and Analytics Tab. Each branch manager brings their view to the review instead of the ops leader assembling it.

What this replaces

Before this stack, multi-location oversight looked like: a district manager calling each branch on Monday, a regional report built from spreadsheets on Friday, and a lagging sense of which branches were leaking leads. The replacement is: a live rollup dashboard, exception alerts when something needs attention, and one 30-minute monthly review per branch that runs off the same data.
