Introduction

Connect My AI Front Desk to HubSpot to auto-create or update contacts from inbound calls/texts, log every conversation as a CRM engagement, and attach notes with recording or transcript links. This guide covers two supported paths—our native connector and a Zapier-based workflow—plus recommended field maps, Meetings, Lists, validation, and troubleshooting. Works with: HubSpot CRM, Meetings, Lists.

Integration paths

Path A — Native connector (recommended)

1) Authenticate

  • In My AI Front Desk: Integrations → HubSpot → Connect.

  • Complete OAuth to HubSpot (CRM/contacts/engagement permissions).

  • Choose default owner and pipeline preferences (optional).

2) Configure objects & toggles

  • Contacts: on (create-or-update, match on email/phone).

  • Engagement logging: on (create Call engagement with summary + transcript/recording URL in body).

  • Tasks for missed calls/voicemails: on (owner = default or skills-based).

  • Companies (optional): on (create-or-associate by domain when available).

3) Map properties (see Field maps below)

  • Required: First name, Last name (if available), Email or Phone.

  • Recommended: Lead status, Lifecycle stage, Source, Notes, Owner.

4) Meetings link

  • Paste your HubSpot Meetings URL to include in SMS follow-ups; prospects can self-book. Reference HubSpot’s Meetings docs above.

5) Save and test

  • Place a test call; verify contact and engagement appear in HubSpot with expected field values and links.

Path B — Zapier-based setup (flexible/advanced)

Prerequisites: HubSpot account, My AI Front Desk account, and Zapier. Connect HubSpot to Zapier.

Recommended Zaps (examples):

  • Trigger: New Qualified Lead (My AI Front Desk) → Action: Find or Create Contact (HubSpot) → Action: Create Engagement (Note) with call summary and transcript/recording link.

  • Trigger: Call Completed (My AI Front Desk) → Action: Create Engagement (Call) with outcome, duration, agent = “AI Receptionist,” and body = structured summary + link.

  • Trigger: Voicemail Received (My AI Front Desk) → Action: Create Task (HubSpot) due “today,” owner = default, body = voicemail URL.

  • Trigger: Appointment Booked (My AI Front Desk) → Action: Create Engagement (Meeting) and/or include HubSpot Meetings link in SMS templates for rebooking.

Spot Meetings, Lists, and workflows

  • Meetings: create personal, group, or round-robin scheduling pages and share links in AI SMS follow-ups.

  • Lists: enroll contacts into static or active lists based on Lead status/Lifecycle stage set by the AI. Use these Lists for nurturing or sales views.

  • Workflows: trigger internal alerts, assignments, or sequences when Lead status changes from “New” → “Open/Attempted.”

Validation checklist (post-integration)

  • Create a test contact (e.g., Jane Test) via an inbound call; confirm:

  • Contact appears with correct dedupe (email/phone), owner, lifecycle, and lead status.

  • A Call or Note engagement exists with summary, timestamp, and transcript/recording link.

  • Lists/workflows fire as intended (notifications, tasks, sequences).

  • Meetings: click the meeting link from the AI’s SMS; verify the booking lands on the correct user calendar.

Troubleshooting

  • No contact created: ensure at least one unique key (email or phone). Confirm mapping isn’t blanked by empty values.

  • Engagement missing: verify “log engagements” toggle (native) or the Zapier “Create Engagement” step isn’t filtered. Re-test with a recent call.

  • Owner not assigned: check that the selected owner exists in HubSpot and that your mapping uses hubspot_owner_id (or assigns by email via Zapier).

  • Meetings link returns 404: confirm your Meetings tool is active and that you copied the current scheduling page URL.

  • Zap errors (401/permissions): reconnect HubSpot in Zapier using an account with Super Admin or CRM object permissions.

Data, security, and scope

  • My AI Front Desk stores call logs, transcripts, and contact metadata; your admin can redact or delete records as required. Review our privacy practices.
