Default field mapping (recommended)

These defaults prioritize minimal setup and clean deduplication. You can customize in Settings > Integrations > HubSpot.

Contact mapping

  • First name → Caller first name (captured/confirmed by AI)

  • Last name → Caller last name (captured/confirmed by AI)

  • Email → Email (if provided)

  • Phone → Primary phone (E.164)

  • Mobile phone → SMS number (if different)

  • Lifecycle stage → Lead (default) or Customer (if existing customer identified)

  • Lead status → New / Open / In Progress (based on call outcome)

  • Source / Original source → "AI Receptionist"

  • Owner → Route to HubSpot owner by round‑robin, last touch, or phone tree rule

  • Custom: Last call transcript URL → frontdesk_last_call_transcript_url (string)

Company mapping (optional)

  • Company name → Business name stated by caller

  • Domain → Parsed from email (if present)

Steps 1) In My AI Front Desk, open Settings > Integrations > HubSpot > Connect account. Approve OAuth when prompted. 2) Create a custom Contact property for transcript links: Settings > Properties > Create property → Object: Contact, Group: Contact Information, Label: "Last call transcript URL", Internal name: frontdesk_last_call_transcript_url, Field type: Single‑line text. 3) In My AI Front Desk > Integrations > HubSpot, enable:

End the call. 8) Validate in HubSpot:
